This Cancellation Policy outlines how you may cancel a service engagement with ComplyHQ, and the terms that apply depending on the stage of your engagement at the time of cancellation. This policy should be read alongside our Refund Policy and Terms & Conditions.
1. Our Approach to Cancellations
We understand that business needs can change. Our cancellation terms are built around one simple principle: once our team has committed time and effort to your engagement, that work cannot be undone - so cancellation terms differ depending on whether work has started.
2. Cancellation Before Work Commences
If you wish to cancel your engagement before we have begun any work on it - including document preparation, drafting, filing, or advisory activity - you may do so by contacting us at contact@thewebgravity.com with your transaction details and reason for cancellation.
In such cases, the service fee paid is eligible for a refund, in accordance with our Refund Policy.
3. Cancellation After Work Commences
Once our team has commenced work on your engagement, cancellation is still possible, but with the following conditions:
- The engagement will be marked as cancelled upon your request, and we will stop further work immediately.
- No refund will be issued for the service fee, as this reflects the time, effort, and resources already committed to your engagement.
- Any government fees, stamp duty, or statutory charges already remitted to a government authority on your behalf are non-refundable and non-reversible, regardless of the cancellation.
- Any partially completed work, drafts, or documentation prepared up to the point of cancellation will be shared with you where applicable, for your records.
4. Change of Service (Instead of Cancellation)
If your requirement has changed but you still need a compliance service, we encourage you to request a change of service rather than a full cancellation. Please contact us within 7 days of your original payment to request this. Change of service requests made after this window, or after substantial work has been completed, will be evaluated on a case-by-case basis and may not always be possible.
5. Cancellation Due to Non-Performance by ComplyHQ
If ComplyHQ is unable to deliver the agreed service due to a failure on our part (as opposed to delays caused by government portals, regulatory backlogs, or client-side documentation issues), you are entitled to a full refund of the service fee paid for that specific engagement, in line with our Refund Policy.
6. How to Request a Cancellation
To cancel an engagement:
- Email us at contact@thewebgravity.com with your name, transaction/payment details, and the engagement you wish to cancel.
- Our team will confirm the current status of your engagement (i.e., whether work has commenced) and inform you of the applicable outcome - refund eligibility, partial deliverables, or closure of the engagement.
- We aim to acknowledge all cancellation requests within a reasonable timeframe and keep you informed throughout the process.
7. Factors That Are Not Grounds for Cancellation-Related Refunds
Please note that the following circumstances, while sometimes frustrating, are outside our control and do not by themselves qualify for a refund upon cancellation:
- Delays in government processing (MCA, GST Network, Income Tax, Trademark Registry, or other official portals)
- Rejection, objection, or additional scrutiny of an application by a government authority for reasons unrelated to our service quality
- Delays caused by incomplete, inaccurate, or late documentation provided by you
8. Force Majeure
ComplyHQ shall not be held liable for any delay, interruption, or inability to complete an engagement due to circumstances beyond our reasonable control, including natural disasters, pandemics, government action, changes in law, strikes, or portal/technical outages of third-party government systems. Such events do not entitle either party to claim a refund based on cancellation.
